Snow Storm Travel for Hockey and other related Weather Incidents Guideline

It is most important to recognize the safety of our players and parents in the event of poor weather conditions or storm conditions that are expected to develop. It is also important to recognize that a reschedule date and time for this game may or may not be easily attainable. Thus, we should try to make a most reasonable effort to play all games (including league and playdown/playoff) as scheduled. It is also a reality that hockey cancellations may and do need to occur -- and sometimes only with 1 or 2 hours of notice, to recognize the development of a storm at either center and/or road closures that do or may occur. It would be helpful to use the following as a guideline:

 Parents / Players:

  1. Ensure you are aware of the process for communication that your Head Coach and/or Manager decides to follow in the event of questionable weather AND whether or not the "Game or Practice is still on?".

  2. • Provide all contact phone numbers (home/cell/ and work) to your manager and head coach.
  3. Assume the Practice or Game will be played as scheduled unless your coach or manager notifies you it is cancelled.

  4. Be sure to communicate with your coach or manager if you decide not to attend

Head Coach / Team Manager:

  1. have a good team contact list developed and with you at games or practices

  2. • be aware of the weather that is developing or is predicted to develop
  3. Assume that your team needs to make a most reasonable effort to attend all scheduled hockey outings

  4. consider that all "behind the scenes" personnel need to be cancelled (to minimize or save these costs) if possible, ie. referees, timekeepers, gatekeepers

  5. • as coach or manager, you may be contacted by the other team's coach who may make you aware of the poor weather at their center and ask if weather is poor at our center for one of your home games,

  6. • try to refrain from cancelling a home game on the spot, get their contact info and assure them that you will call them back
  7. • assume that a decision regarding most weather situations will only be made 3 - 4 hours prior to scheduled game start time
  8. • if you feel the weather is too poor for travel to a scheduled hockey game or hockey practice
  9. • Contact your Division Convenor and advise him/her that you will re-schedule the game and will provide a date ASAP according to WOGHL Rules & Regulations.
  10. • Contact a team representative from the other center to discuss the weather situation and ask for guidance.
  11. • Google their center's minor hockey website to find a most appropriate contact person (team/arena personnel)
  12. • As coach, you may be contacted by the other team's coach/rep who may decide outright to cancel one of your away games

  13. Have your team notified right away -- preferably by phone and NOT email OR voice msg

14. Cancellation Rules (WOGHL Rules & Regulations)

a) Cancellation of a game by a team can be done without penalty or further responsibility up to two weeks (14 days) prior to the day a game is scheduled. This game must be rescheduled as provided below.

b) Ice costs for a game cancelled less than two weeks before the game day becomes the responsibility of the team which gives notice of cancellation unless the ice is used by the non-canceling team, or some other team.

The canceling team will be assessed a $100.00 disciplinary fine payable to the League.

c) A rescheduled game is not considered to be locked into the schedule until the Convenor for that division has been notified.

d) Games cancelled must be rescheduled within seven (7) days of game cancellation. Any team that does not reschedule within the seven (7) day period will be assessed a $50.00 disciplinary fine payable to the League.

f) The Executive may, in its discretion and upon identifying special circumstances, waive or reduce any fines levied for game cancellation infractions.

g) The Executive reserves the right after an investigation, to issue an additional $200.00 fine, payable to the League, to any team who either fails to show for a scheduled league game without just cause; cancels a scheduled league game within 24 hours of its playing time without just cause; or refuses to reschedule a cancelled game.

h) Cancellation due to weather conditions must be made before three (3) hours of the scheduled start time.

1. The team cancelling the game MUST DIRECTLY CONTACT BY PHONE AND SPEAK to a designated team representative before this game is officially considered cancelled.

* Note: E-mail and voice messages will NOT be considered as proper notification.

2. It will be the responsibility of the home team to then notify the convenor of this change.

3. The cancelled game is to be rescheduled within seven (7) days.
4. Any team violating this rule will forfeit the game.
